Trinity Tutoring LLC d/b/a Kindred Cognition (“Kindred Cognition,” the “Company,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information in connection with our website, www.kindredcognition.com, our online planner, and our related tutoring, coaching, educational support, scheduling, communication, and administrative services (collectively, the “Services”).

This Privacy Policy is intended to be read together with our Terms of Use. By accessing or using the Services, or by permitting a minor to access or use the Services, you agree to this Privacy Policy.

1. Information We Collect

We collect information that you provide to us directly, information created through use of the Services, and certain information collected automatically when you access our website or online tools.

Information you provide to us may include your name, email address, contact information, account information, and communications with us. If you are a parent, guardian, student, client, or prospective client, we may collect information you provide when you contact us, schedule services, communicate with a coach or administrator, or otherwise interact with the Services.

The online planner may collect and store information entered by or for a student, including assignments, due dates, calendar information, study plans, educational goals, custom lists, planner notes, motivational strategies, productivity tools, task lists, and other information entered into the planner by the student, assigned coach, administrator, parent, or guardian.

If a student elects to connect the planner with Google Calendar or another third-party calendar or scheduling service, the Services may collect or process calendar-related information necessary to provide that functionality. This information may include event titles, dates, times, scheduling information, and the number of calendar events associated with a user’s account. Event title information is generally visible only to the applicable student user. Coaches and administrators may have access to limited calendar-related information, such as the number of scheduled events, for planning and coaching purposes. The availability and operation of any third-party integration may also be subject to the terms and privacy practices of the applicable third-party provider.

We do not currently permit users to upload files or photographs through the planner. We do not currently record online tutoring or coaching sessions. Students do not purchase items through the planner.

2. Student Accounts and Minors

Student accounts are created by coaches, administrators, or other authorized Company personnel. Students then use those accounts to access the planner and related Services.

The Services are not intended for children under the age of 13. The Company does not knowingly create accounts for, grant planner access to, or collect personal information through the Services from children under the age of 13. If we learn that we have collected personal information from a child under the age of 13 without appropriate authorization, we will take reasonable steps to delete that information or otherwise address the issue in accordance with applicable law.

Users under the age of 18 may use the Services only with the involvement and consent of a parent or legal guardian. By permitting a minor to use the Services, the parent or legal guardian agrees to this Privacy Policy and our Terms of Use on behalf of the minor and accepts responsibility for the minor’s use of the Services.

Parents or guardians may contact us to request access to, correction of, or deletion of personal information associated with a minor student, subject to identity verification, account authorization, operational limitations, and any applicable legal or contractual obligations.

3. Information Collected Automatically

When you access the website or online Services, we and our service providers may automatically collect certain technical and usage information, including your IP address, browser type, device information, operating system, referring URLs, pages visited, dates and times of access, and similar information regarding your interaction with the Services.

We may use cookies, pixels, log files, and similar technologies to operate the website, maintain account functionality, improve the Services, understand usage, enhance security, and troubleshoot technical issues. You may be able to adjust your browser settings to refuse cookies or notify you when cookies are being used, but some portions of the Services may not function properly without them.

4. How We Use Information

We use information collected through the Services to provide, operate, maintain, and improve the website, planner, tutoring, coaching, educational support, and related Services.

We may use information to create and manage accounts, provide planner access, coordinate tutoring or coaching services, communicate with students, parents, guardians, and clients, respond to inquiries, send administrative messages, provide password reset emails, send planner-related reminders or notifications, maintain security, troubleshoot technical issues, enforce our Terms of Use, and comply with applicable legal obligations.

We may also use information to understand how users interact with the Services, improve the planner and related tools, develop new features, maintain internal business records, and manage our operations.

We do not use student planner content to sell advertising. We do not sell, rent, or otherwise share personal information with third parties for their own marketing purposes.

5. Planner Notifications and Email Communications

We may send administrative, account-related, and planner-related emails, including password reset emails, account notices, and reminders relating to planner activity, such as overdue assignments or prompts to log in to the planner. These communications are part of the Services.

We do not currently use a third-party marketing email platform for promotional email campaigns. If we later use an email marketing provider or begin sending marketing communications, we may update this Privacy Policy as appropriate. Users may opt out of promotional emails, but they may still receive non-promotional, administrative, transactional, or account-related communications.

6. How We Share Information

We may share information with service providers that help us operate the website, planner, communications, scheduling, payment processing, hosting, data storage, security, technical support, and related business functions. These service providers may access personal information only as reasonably necessary to provide services to us.

We may share planner information with authorized users and Company personnel as needed to provide the Services. Planner information may be visible to the student, the student’s assigned coach, and Company administrators. Parent or guardian access may be provided depending on the applicable account arrangement, student circumstances, and Company procedures.

We may disclose information if required to do so by law, court order, subpoena, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of the Company, our users, students, coaches, service providers, or others.

We may disclose or transfer information in connection with a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar business transaction involving all or part of our business.

We do not sell personal information. We do not rent personal information. We do not share personal information with third parties for their own direct marketing purposes.

7. Third-Party Services

The Services use third-party providers to support website operations, planner functionality, communications, scheduling, hosting, and related business functions. For example, the Company currently utilizes Amazon Web Services (AWS) for planner hosting and infrastructure, Bluehost for website hosting, TutorBird for scheduling and tutoring administration, Resend for certain account-related and planner-related email communications, and Google Calendar integrations when enabled by users. The Company may add, remove, or change service providers from time to time as its business and technology needs evolve.

The Services may also allow users to connect with or access third-party platforms, including calendar tools or other external services. Information shared with or collected by third-party services may be governed by those third parties’ own terms and privacy policies. We are not responsible for the privacy practices of third-party websites, platforms, or services that we do not control.

8. Payment Information

Students do not purchase items through the planner. If clients purchase tutoring, coaching, or related services through the website or another online system, payment information may be processed by a third-party payment processor.

We do not intend to store full payment card information directly. Payment information submitted through a third-party payment processor is subject to that provider’s own terms, security practices, and privacy policy.

9. Data Retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts, preserve planner history, comply with legal obligations, resolve disputes, enforce agreements, maintain business records, and support legitimate operational needs.

Planner information may be retained until deleted or changed in accordance with Company procedures. Past plans and planner entries may be archived so that students can access prior information. The Company may revise its retention practices over time as the Services develop, storage needs change, or operational requirements evolve. At present, certain planner information and archived plans may remain available to users unless deleted or modified by the Company, although the Company may adopt revised retention schedules and archival practices as the Services continue to develop.

Users, parents, or guardians may request deletion of personal information by contacting us. We may retain certain information when necessary for legal, security, operational, accounting, dispute-resolution, or legitimate business purposes.

10. Security

We take reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, disclosure, alteration, or destruction.

No method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security, and users should use care when deciding what information to enter into the Services or send electronically.

11. Access, Correction, and Deletion Requests

You may contact us to request access to, correction of, or deletion of personal information associated with your account or, if you are a parent or legal guardian, a minor student’s account.

Before responding to certain requests, we may need to verify your identity, authority, or relationship to the relevant user. We may decline or limit a request when permitted or required by law, when we cannot verify the request, or when retention is necessary for legitimate business, legal, security, operational, or contractual reasons.

Depending on where you live, you may have certain rights under applicable state privacy laws, which may include the right to request access to personal information, correction of inaccurate information, deletion of information, or information about certain disclosures.

We do not sell personal information. We do not use student planner content for targeted advertising.

13. Do Not Track

Some browsers offer “Do Not Track” signals. Because there is no uniform industry standard for responding to these signals, we do not currently respond to browser “Do Not Track” signals.

14. Links to Other Websites

The Services may contain links to websites or services operated by third parties. This Privacy Policy does not apply to third-party websites or services. We encourage users to review the privacy policies of any third-party websites or services they access.

15. Users Outside the United States

The Services are operated in the United States. If you access the Services from outside the United States, you understand that your information may be collected, used, processed, stored, and transferred in the United States, where privacy laws may differ from those in your jurisdiction.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The effective date above indicates when this Privacy Policy was last revised. Changes are effective when posted unless otherwise stated.

If we make material changes to this Privacy Policy, we may provide additional notice, such as posting a notice on the website or sending an email if an email address is associated with your account. Your continued use of the Services after the revised Privacy Policy is effective constitutes your acceptance of the revised Privacy Policy.
